Having a system keep track of the process rather than remembering emails and scheduling follow ups improves cycle time and quality!
CPS has helped a client develop a robust form and workflow process to manage contract renewals. The Contract Renewal Request process automates the process of communications between renewal representatives and their customers with expiring contracts. The process is responsible for sending emails as reminders, and consolidating any responses received from customers in a form launched by the CRS (contract renewal specialist). Key features of the process:
- Sending a custom email alerting the customer of the expiring contract(s) using pertinent information from form fields in the email body.
- Automating customized reminders, an expiration notice, and past due notices at set intervals of business days.
- Monitoring and organizing the shared inbox so CRS’ are aware when bounce-backs and errors occur, and are able to see when incoming emails have been processed by the system.
- Consolidating email correspondence with customers in the form, creating a hub for the CRS to find any information about a given contract or group of contracts for a customer.
- Routing all above information through necessary approvals prior to approving a contract.
