Overview
CPS developed a site payment program for the biotechnology company which entailed clinical trial functionality such as requesting participation, payment structure and file uploads to SAP. It was determined that the current system didn’t contain features based on their new long-term requirements. Previously, they were planning on using out-of-the-box business process automation functionality to upload data from an Excel file to a form. They discovered they needed to add validations and deeper functionality. Once a clinical trial was initiated, the process to receive data from sites and submit payments to each site took months due to manual processes.
Key Challenges
The biotechnology company was about to embark on their largest clinical trial to date and their current process wouldn’t be able to sustain it. Manipulating dozens of Excel files was not only a time-consuming manual process, it wasn’t sustainable due to required data validation, encrypted information and managing the individual clinical trial’s budget & payments. The roadblocks they were encountering included:
Managing multiple payment structures across all sites
Prompt and accurate payments to participating sites
Navigating the fees / reimbursements associated with screening patients and storing the medicines at appropriate conditions
Managing additional trials at the same time
Manually manipulating dozens of Excel files
Results
Using a business process automation platform, the CPS team developed a solution. The biotech company was pleased with the site payment solution CPS created. The solution now incorporates:
- Managing fee changes and ensuring the correct fee is paid based upon the date the visit was completed
- All trials across all sites are central managed and no longer require management of many Excel files
- Centrally stored data that can be easily reported on using modern data visualization tools
- Electronically collected data previously manually submitted by other trial stakeholders
They use this process resulting in prompt and accurate payment based on the clinical trials and procedures completed. What used to take weeks or months, now only takes a few days by automating the payment through SAP. Through automation, less manual data entry and intervention is required, and the increased automation enables additional trials to be managed without hiring more people.
